The CaptionHub Connect flow for client teams

The client workflow

Once a Connect relationship has been established between a client team and a vendor team, users in the client team will see the Connect interface within their projects.

Both original captions and translations can be sent to a vendor. However, once translations exist in a project, the original captions can no longer be sent for transcription. This prevents changes to the source captions while translation work is already underway.

Sending captions to a vendor

Once the project has been created and the video has finished encoding, captions can be sent to a vendor.

The original captions can either be:

  • Blank captions
  • Automatically transcribed captions generated using a supported transcription provider, such as Speechmatics or Amazon Transcribe

To send captions to a vendor:

  1. Click Send to vendor
  1. Select the vendor team
  1. Add any briefing notes or instructions
  1. Click Submit

Once submitted, the project will show that the request has been sent to the vendor.

What happens after a request is sent?

Once a request has been sent, the captions become read-only for the client team.

Users in the vendor team are notified and can either:

  • Accept the request
  • Reject the request

If the vendor rejects the request, the client can resend it, either to the same vendor with updated briefing notes or to a different vendor.

Once the vendor accepts the request, work can begin. The client UI will be updated to show that the request has been accepted.

Withdrawing a request

The client team remains in control throughout the Connect workflow.

At any point before the work is submitted back, the client can withdraw the request by clicking the request status link and selecting Withdraw request.

This immediately stops the workflow and returns control of the captions to the client team, allowing them to make changes or send the work elsewhere.

Reviewing a vendor submission

When the vendor has completed the work, they can submit it back to the client team for review.

The client team will receive an email notification, and the project status will be updated accordingly.

At this stage, the client team can review the captions and either:

  • Accept the submission
  • Reject the submission

Rejecting a submission returns the captions to the vendor for further work.

To review a submission:

  1. Click Review submission from vendor.
  1. Select either Accept or Reject.

Once a submission has been accepted, the captions become available for the normal CaptionHub workflow, including publishing, exporting, rendering, or sending the work to another vendor for additional review.
