The Client flow

Once this connection is established then client teams will see the Connect UI when looking at their projects.

Both transcriptions and translations can be sent to a vendor. The only caveat here is that once translations exist on a client project then the transcription can’t be sent to a vendor (this avoids the vendor working on a translation where the underlying original captions also change).

Sending captions to a vendor

Once the client has created the project and the video is encoded and ready, then the client team can send the captions to a vendor. The client team can send blank original captions or run the captions through any available transcription AI such as Speechmatics or Amazon Transcribe. Once the client is ready to send over the original captions to the vendor, the client clicks on the Send to vendor link as shown above. This presents the user with a popup where you can select the correct vendor team and add some briefing notes.

Once this is submitted the UI will show that the captions have been sent.

After a request is sent what happens?

Once a request has been made, the client team can’t edit those captions. Users in the vendor team will be notified of the connect request. The request can either be accepted or rejected by the vendor. If the the vendor rejects the request then the client team can resend the request (perhaps to another vendor or with updated briefing notes) following the steps above.

Withdrawing a request

Throughout the Connect process the client team has control over the requests. At any time during the process a client team can withdraw the request from the vendor. To do this click on the status link shown in the UI and a popup will appear with the option to withdraw the request. This will stop the vendor working on the captions and allow the client to send them elsewhere.

The vendor submits the request

When the vendor team think that the captions are ready they submit the request back to the client team. Users on the client team will be notified via email that the caption have been submitted and the UI will be updated accordingly.

At this point members of the client team can view the captions in the normal way. If they’re happy with the work submitted by the vendor then they should accept the submission. If they’re not, they should reject the submission which will return the captions to the vendor for further work. To do this click the Review submission from Vendor link and select the appropriate action in the popup.

Once the client team has accepted the submission they can conduct other CaptionHub actions such as rendering, publishing, etc. or create another Connect request to a different vendor perhaps to review the work.
