Setting up Automation templates
To set up Automation inside of CaptionHub, first you need to create an Automation template.
- First, navigate to Automation, available from the drop-down at the top right of the screen
- Enter a name for your Automation template in the “Template name” box, and click the “Create template” button
- You’ll then see a series of tabs, which you’ll need to fill in, according to what you’d like to automate
Automation
Configure the triggers or set of actions you’d like CaptionHub to take at various stages of your captioning process.
Project source:
- API or UI – select this if the source for your media will be via API or UI upload
- Brightcove – select this if you’d like the template to apply to media coming from Brightcove. You’ll need to set up the Brightcove connector first. When Brightcove is selected, you have the option to automatically import “All new media” or “Tagged” media.
- “All new media” will automatically import any new video you upload to Brightcove into CaptionHub. The timestamp for this is taken from the point at which the automation was made active.
- “Tagged” media will import all videos which match the tag you define. You can set up powerful workflows with this option, triggering different workflows with different tags.
- JWPlayer – select this if you’d like the template to apply to media coming from JWPlayer. You’ll need to set up the JWPlayer connector first.
- “All new media” will automatically import any new video you upload to Brightcove into CaptionHub. The timestamp for this is taken from the point at which the automation was made active.
- “Tagged” media will import all videos which match the tag you define. You can set up powerful workflows with this option, triggering different workflows with different tags.
- Qumu – select this if you’d like the template to apply to media coming from Qumu. You’ll need to set up the Qumu connector first.
- “All new media” will automatically import any new video you upload to Brightcove into CaptionHub. The timestamp for this is taken from the point at which the automation was made active.
- “Tagged” media will import all videos which match the tag you define. You can set up powerful workflows with this option, triggering different workflows with different tags.
- Cloudflare - select this if you’d like the template to apply to media coming from Cloudflare. You’ll need to set up the Cloudflare connector first. Please note Cloudflare supports automation but no tagging.
- Vimeo - select this if you’d like the template to apply to media coming from Vimeo. You’ll need to set up the Vimeo connector first.
- “All new media” will automatically import any new video you upload to Brightcove into CaptionHub. The timestamp for this is taken from the point at which the automation was made active.
- “Tagged” media will import all videos which match the tag you define. You can set up powerful workflows with this option, triggering different workflows with different tags.
- Mux - select this if you’d like the template to apply to media coming from Mux. You’ll need to set up the Mux connector first. Please note Mux supports automation but no tagging.
- YouTube - select this if you’d like the template to apply to media coming from YouTube. You’ll need to set up the YouTube connector first. Note that our YouTube connector supports automation but not tagging, and differs from other connectors; you can find more details here.
On project creation:
- Do nothing – select this if you’d like the automation to stop here
- Transcribe – select this if you’d to initiate a transcription action when your media comes into CaptionHub
- Create blank captions with template defaults – select this if you’d to create blank captions with your media comes into CaptionHub
- Import original captions – select this if you’d like the template to import original captions (if they exist) from an OVP platform like Brightcove
On caption creation / approval:
- Do nothing – select this if you’d like the automation to stop here
- Initiate translations – select this if you’d to initiate a translation action when your transcription has finished
- Publish – select this if you’d to publish original captions when your transcription has finished
- Publish original captions and add translations – select this if you’d to publish original captions when your transcription has finished, and also initiate translations
On translation creation / approval:
- Do nothing – select this if you’d like the automation to stop here
- Publish – select this if you’d to publish your translations when the translation process has finished
captionhub
tag added to them in your video platform, to show that they’ve been processed by CaptionHub. In other words, if you import a video via Automation template and you then delete that video in CaptionHub, it will not be automatically re-imported on account of the tag. You’ll need to remove the captionhub
tag in your video platform before CaptionHub can re-import the video. To fully optimize your automation, there are a few additional settings to configure across the following tabs.
Project tab
- Original Captions Workflow - Choose and apply the workflow for your original captions.
- Translations Workflow - Select and apply the workflow for your translations.
- Termbases - Choose and apply a termbase to maintain consistent translations across languages (currently compatible with subtitles generated via Amazon Translate).
- Producers - Add all producers to be assigned to the project.
Original tab
- Transcription provider - Select the ASR provider to generate your original captions. Choosing "Manual" will result in blank captions.
- Language - Choose the language spoken in your source video.
- Custom dictionary - Apply a custom dictionary to bias the transcription output, incorporating business-specific terms.
- Advanced options - Set desired caption limits for your original captions.
Translations tab (appears only when automation template is set to create translations)
- First select a new translation group
- Translation method - Choose the MT provider or Phrase (available for existing Phrase customers only) to generate your translations. If you select "Manual," captions will be left blank.
- If using Phrase, choose the Phrase template to apply to the automation.
- Languages - Select the languages you want to create translations for.
- Advanced options - Set caption limits for the selected languages.
- Click Save & exit.
- If you want to create a new set of translations within the same template, using different MT engines and/or caption limits, select Create a new translation group.
- Repeat the steps as needed.

The Node view feature in Automation provides a clear, visual representation of your workflows. As you customise your automation templates to meet your captioning requirements, Node view organises each step and connection into an intuitive, easy-to-navigate layout.
