Adjusting captions in the spreadsheet

Per-line tools

When editing captions in the spreadsheet view, several tools are available on a caption-by-caption basis.

From left to right, you'll find:

  1. Character count
  1. Duration indicator
  1. Caption track (1 or 2)
  1. Caption level comments

Character count

CaptionHub displays the number of characters in each caption. If the character count exceeds the limits defined by your language profile, the indicator will turn red to highlight the issue.

Note: In CJK captions (Chinese, Japanese, and Korean), characters from the Latin alphabet are counted as half the value of a CJK character.

Duration indicator

CaptionHub also displays the duration of each caption. Click the duration indicator to switch between Duration, Words per minute (WPM) and Characters per second (CPS) views, allowing you to assess reading speed in the format that best suits your workflow.

If reading speed limits have been configured and a caption exceeds those limits, the indicator will turn red to alert you.

CaptionHub remembers your last selected indicator and uses it by default the next time you open captions in the editor.

Caption track

The caption track indicator shows whether the caption belongs to Track 1 or Track 2. You can also use it to change the caption's track.

Caption level comments

Click this button to open the comments pane for an individual caption.

Editing captions

Click inside a caption to begin editing. Once the caption is in edit mode, a floating toolbar appears with additional actions, including splitting, merging, positioning and deleting captions.

Merge captions

Click Merge to combine the current caption with the one immediately below it.

Split caption

If a caption becomes too long, for example, after translation, you can split it into two captions.

Place the cursor where you'd like the split to occur, then click Split. CaptionHub creates a new caption at that point. You may then need to adjust the timings of the two resulting captions.

Position caption

Click Position to choose where the caption appears on screen. CaptionHub provides nine preset positions. By default, captions are positioned at the bottom centre of the video.

Delete a caption

Click the Delete caption button from the floating toolbar to remove the current caption.

Alternatively, right-click the caption (outside of text editing mode) and select Delete caption from the context menu.

Create a new caption

To create a new caption, place the cursor at the end of the previous caption and press Ctrl + Enter (Windows) or Cmd + Enter (Mac). A new empty caption will be created immediately below.

Alternatively, place the cursor where you'd like the new caption to begin and click Split.

Caption text options (right click menu)

While editing caption text, right-click any selected word to access formatting options such as Bold and Italic, as well as standard cut and copy actions.

If you'd like to access your browser's native context menu instead, hold Shift while right-clicking.

Copy the source text into translated captions

When working in translated captions (or a pivot language), you can quickly copy the source text into your translation.

Right-click a caption to access the following options:

  • Replace caption text with source copies the source text into the selected translated caption only.
  • Replace all captions with source copies the source text into every translated caption in the current language, replacing all existing translated text.

These options are also available when working with Pivot languages, allowing you to copy text from the pivot language into downstream translations where applicable.

They are particularly useful when restarting a translation from the source or pivot language, or when you want to use the existing text as the basis for manual editing.

Undo and redo

If you make a mistake or want to revert a recent change, use the Undo and Redo controls in the top right corner of the editor. These actions are also available using keyboard shortcuts.

  • Undo: Ctrl + Z (Windows) or Cmd + Z (Mac)
  • Redo: Ctrl + Shift + Z (Windows) or Cmd + Shift + Z (Mac)
